Before I found a rhythm that worked, my weeks felt like one long to-do list:
Even with systems in place, I felt like I was always catching up, or bracing for something urgent.
I didn’t feel behind on work, but I did feel behind on rest.
And I know I’m not the only one.
If you’re a small business owner wearing multiple hats, you’ve probably felt the same: the pressure to always be “on,” the mental juggling of priorities, the calendar that fills before you’ve even had a say in what you want your week to feel like.
You know you can handle it but deep down, you’re wondering if there’s a better way.
One where you don’t have to earn rest, where your systems support your capacity, and where your business rhythm actually has space for living your life.
So I made a shift.
Not all at once, but gradually, I started to shape my week around how I wanted to feel, not just what needed to get done.
I call it my weekly work rhythm, and it’s what allows me to take Fridays off without things falling through the cracks.
I noticed I never got my best work done on Fridays. My energy dipped, my focus was scattered, and my brain was already in weekend mode. I was checking boxes, not making meaningful progress.
So I decided to protect my energy on Fridays. Not by doing more earlier in the week, but by working differently Monday through Thursday.
I didn’t shrink my priorities. I just simplified my systems.
One of the biggest shifts I made in my rhythm was committing to my own business before diving into client tasks. That means giving myself dedicated space to plan, reflect, learn, and think, without rushing straight into delivery mode.
Most mornings, this looks like starting with internal rituals: journaling, making my favorite breakfast, eating at the dining table with my fiancé, and easing into the day by watching YouTube or browsing Pinterest for inspiration. From there, I check in on any courses or programs I’m currently learning from. Sometimes I’ll revisit a topic I’m implementing or submit a question for coaching support.
Only then do I move into work mode: reviewing Akiflow and ClickUp, checking in on client & team updates, and starting on tasks for the day.
These routines help me stay connected to the bigger picture of my business, not just the day-to-day responsibilities I manage for others.
When I give myself that space first, I show up to client work more grounded, focused, and clear. My clients benefit too, because I’m not reacting, I’m leading.
Your business deserves your energy just as much as your clients do. Protecting that time has been key to building a rhythm I can actually sustain.
Each week, I move through a rhythm that gives my work focus and my life breathing room.
I begin with planning and light admin tasks to set the tone. Midweek is when I carve out time for deep work such as creative focus, client projects, or strategy. Client calls are limited to just two days to give myself space to recalibrate and rest in between.
Toward the end of the week, I leave room for lighter or flexible tasks, wrapping up what’s needed without overloading my schedule.
The shape of my week shifts with the season. Some weeks carry a heavier workload than others, but I still stay within a 4–6 hours/day range. This gentle rhythm helps me keep my time and energy aligned with what matters most.
Fridays are reserved for rest, reflection, or personal time. That boundary has become a quiet foundation for how I lead and grow.
I use:
These are not just tools, they’re extensions of how I protect my energy. They allow me to focus when I’m working and fully disconnect when I’m not.
For me, yes. For you, maybe not. Maybe you want slower Mondays or shorter Tuesdays. The point is: your business should adapt to your life—not force you into a pace that burns you out.
Your rhythm doesn’t have to match mine. But it should match you.
