OBM vs. VA: Which Does Your Business Actually Need?

A clearer way to decide whether you need help doing the work or someone to help lead it.

As your business grows, you may reach a point where you know you need support, but you’re not sure what kind.

Should you hire a Virtual Assistant (VA) to take tasks off your plate, or an Online Business Manager (OBM) to oversee the day-to-day operations?

The difference comes down to whether you need someone to complete tasks you’ve already planned or someone to manage the work so you don’t have to.

When a VA makes sense

A VA is a good fit when you know what needs to be done but need someone else to handle the execution.

For example, you might need help with scheduling emails, uploading content, responding to routine inquiries, or updating your client records.

You already have the processes and priorities figured out. You just need someone to carry out the work.

A VA helps you get tasks done.

When an OBM makes sense

An OBM is a better fit when you’re spending too much time managing the work itself.

You might have a team, established offers, and systems in place, but you’re still the person coordinating projects, answering questions, tracking deadlines, and making sure everything runs smoothly.

An OBM helps oversee those moving parts by managing priorities, coordinating your team, improving processes, and keeping day-to-day operations on track.

An OBM helps you manage how the work gets done.

That doesn’t mean an OBM never handles implementation. Depending on the arrangement, they may also take ownership of executing the work alongside managing it.

What should you have figured out before hiring an OBM?

You don’t need perfectly documented systems, organized project management tools, or every process mapped out before bringing in operational support.

Those are things an OBM can help you improve.

What you do need is clarity on a few things:

  • Your business priorities. What are you working toward, and what matters most right now?

  • Where you need support. What responsibilities are taking up time you’d rather spend elsewhere?

  • Your willingness to delegate. Are you comfortable giving someone the context and authority to move work forward without your involvement in every detail?

An OBM can help you figure out how to get things done, but you still provide the direction for what needs to happen.

The right support should create more capacity, not more work.

Hiring someone isn’t always the solution to feeling overwhelmed. Sometimes the real issue is that you’ve delegated tasks while keeping the responsibility for managing them.

If you need help completing clearly defined tasks, a VA may be enough.

If you need someone to connect the moving parts of your business, take ownership of operations, and reduce how much depends on you, an OBM may be the better fit.

The goal isn’t simply to have more people supporting your business. It’s to have the right support so your business requires less of you.
